House Guidelines for Instructors & Renters

The Ivory Room has been thoughtfully created as a space for learning, creativity, connection and meaningful gatherings. By confirming your booking, you accept responsibility for ensuring that your guests, students, participants and anyone accompanying them are aware of and respectful of these guidelines.

The Studio & Your Booking

1. Your Booking Window

Your booking begins at the scheduled start time confirmed at the time of reservation, regardless of the actual start time of your session, class, event, or shoot.

Your booking period includes both setup and pack-down time.

We ask that the studio is ready to be handed over promptly at the end of your booking. This courtesy helps ensure that everyone's day runs smoothly.

A grace period of up to 30 minutes may be extended for pack-down, subject to availability. Beyond this, an additional hour will be charged at the prevailing hourly rate.

Should you wish to extend your booking, additional time is billed at the standard hourly rate and is subject to availability. Prior approval from the team is required.

2. Returning the Space

Please return all furniture, props, and fittings to their original positions before leaving.

3. Smoke-Free Environment

The Ivory Room is a smoke-free, vape-free, gutka-free, and paan-free environment throughout, including the corridor and all shared areas.

4. Food & Beverages

You are welcome to bring your own food and beverages. We simply ask that all food served on the premises is vegetarian.

Food and drinks may be enjoyed in the pantry area. To help preserve the studio, we request that the main studio space remains food-free.

Tea and coffee are available on request at a nominal charge.

A microwave is provided in the pantry. Please ensure that no metal items are placed inside.

5. Noise & Consideration for Others

The Ivory Room shares its space with NGO Aarohi and our neighbours.

We kindly ask that music, conversation, and activities remain comfortably within the studio. Noise in the corridor and common areas should be kept to a minimum.

What happens here, stays here.

6. Green Room Access

The green room is included with half-day and full-day bookings.

Should you require access to the green room during shorter bookings, please check with us in advance. Subject to availability, it may be made available at a nominal additional charge.

7. Capacity

For the comfort and safety of all guests, the studio accommodates a maximum of 20 guests at any one time unless otherwise agreed in advance.

8. Personal Belongings

While we take every care of the space, The Ivory Room cannot accept responsibility for personal belongings, equipment, valuables, or materials brought onto the premises.

9. Security Deposit

A refundable security deposit applies to full-day bookings and will be returned promptly once the space has been inspected.

10. Energy & Sustainability

Before leaving, please ensure that all lights, fans, air conditioning, and electrical equipment have been switched off.

It's a small act that goes a long way — for the space and for the planet.

11. Décor, Installations & Special Materials

If you wish to decorate or personalise the space, please speak with us beforehand.

To preserve the studio, nails, screws, pins, adhesives, tapes, glue, stickers, hooks, or similar materials may not be applied to walls, mirrors, doors, windows, ceilings, furniture, or fittings without prior approval.

The use of paint, glitter, confetti, flour, coloured powders, liquids, smoke effects, or similar materials is not permitted without prior approval.

Any damage, marks, residue, repairs, repainting, cleaning, restoration, or replacement costs arising from unauthorised installations, décor, materials, or misuse of the space will be charged to the renter.

12. Caring for the Space

Please leave the studio as you would hope to find it.

All personal belongings, decorations, food containers, props, materials, equipment, and waste brought into the space should be removed at the end of your booking.

Additional cleaning charges may apply where excessive cleaning is required.

13. If Something Goes Wrong

Accidents happen.

If anything is damaged, broken, stained, or requires attention during your booking, please let us know before you leave so that we can address it promptly.

The renter is responsible for any damage caused to the studio, its fixtures, furnishings, equipment, or common areas during their booking, regardless of who caused the damage.

Young Guests & Accompanying Staff

14. Young Guests

We are delighted to welcome young guests to The Ivory Room.

Instructors and organisers are responsible for the supervision, safety, and conduct of children attending their sessions throughout the duration of their booking.

Children should remain within the studio space and be accompanied by a responsible adult or instructor at all times.

15. Accompanying Staff

Domestic help, drivers, and accompanying staff are kindly requested to wait downstairs and not in the corridors or stairways.

They are welcome to come up only for drop-off and pick-up.

This helps us maintain a calm atmosphere and keep shared spaces comfortable for everyone.

16. Arrivals & Departures

We ask that arrivals and departures are managed thoughtfully.

As The Ivory Room is part of a shared building, we request that guests avoid gathering in the corridor and that noise levels in common areas are kept to a minimum.

We appreciate your support in helping us be considerate neighbours.

Photography & Content

17. Photography Within the Studio

The Ivory Room is frequently used for classes, workshops, content creation, private events, and productions.

We ask that all photography and videography is conducted respectfully and with consideration for the privacy of others using the building.

18. Sharing the Space

We love seeing the creativity, learning, and meaningful moments that unfold within The Ivory Room.

From time to time, photographs or videos may be taken within the space for promotional, social media, or website purposes.

If you would prefer not to be featured, simply let us know at the time of booking and we will always respect your wishes.

By attending events, classes, workshops, or sessions at The Ivory Room, guests consent to occasional photography or videography unless they have informed us otherwise in advance.

19. Using Images of The Ivory Room

Should you share content featuring The Ivory Room, we kindly ask that it reflects the spirit of the space and the community that gathers here.

If possible, we'd love for you to tag us when sharing your work.

Booking Terms

20. Your Activity, Your Responsibility

When you book The Ivory Room, you are hiring the venue as a private space for your event, class, workshop, gathering, or production.

Renters and organisers remain responsible for the activities conducted within the studio and for the wellbeing of their participants.

As we do not provide activity-specific liability coverage, instructors and commercial organisers are encouraged to arrange their own insurance where appropriate.

21. Changes & Cancellations

Cancellations made within 24 hours of a booking are non-refundable.

We are happy to accommodate one rescheduling request, subject to availability and advance notice.

While we make every effort to honour recurring bookings and class schedules, The Ivory Room reserves the right to reschedule a booking with a minimum of 48 hours' notice where operational requirements make this necessary. We will always endeavour to offer a suitable alternative.

22. Respecting the Space

The Ivory Room reserves the right to refuse entry, cancel a booking, suspend a membership, or discontinue future arrangements where behaviour is disruptive, inappropriate, unsafe, disrespectful to the space, or in violation of these guidelines.

In such circumstances, refunds will not be applicable.

The Ivory Room also reserves the right to decline future bookings where these guidelines are repeatedly disregarded or where behaviour compromises the experience of other guests, neighbours, or the studio itself.

A Final Note

The Ivory Room was created as a place for learning, creativity, conversation, and community. Every person who walks through its doors contributes to its atmosphere.
